Future changes to the clubs membership

Over the last few months the club has met its ceiling of 50 members on more than one occasion from 2007 to 2008, this has been an achievement the club has not seen before and the club should be commended for such an incredible achievement.

Now that we have met our ceiling, what now?! Where do we go from here?

Being the elected Chairman of this great 4wd club I am granted the task of helping guide this 4wd club into a bright and wonderful future so that it can remain as active as it has been since 2004 when the club pretty much split right in half due to unnecessary political issues the club did not need at the time. Froggy has been and major contributing influence and driving force in terms of directing West Coast 4x4 from its original beginnings - 1997 and even before this time.

I've listened to all the pro's and con's about increasing the membership above the clubs current ceiling of 50 members and I am continually finding it more and more difficult to support the argument not to increase the membership.

This clubs currents structure can deal with any club issues whether there is 5 members or a 105 members, it just doesn't matter how many members the club has now because of how well the club has been built and how its continual improvement processes are managed.

The only real argument I see that has a small level of merit supporting a restriction on membership is one with relations to attrition rates, for example... old members that sort of leave due to a lack of interest allow membership position to become available to new members.

Unfortunately the downside of the club loosing these members is really quite obvious, the clubs starts to loose its heritage, history and its identity. Older members that don't do trips on a regular basis are still an integral part of the club in terms of the experiences, knowledge, skills and attitudes that these members bring to the table and offer the clubs membership. Anyone with a passion for this 4wd club should not ignore the importance of what these guys bring to the club, even if none of us see them on a regular basis out there behind the black stump... so to speak.

Having said the above... what if? We have a club full of these members, would the club be active in terms of posted 4wd trips? I think not.

Whether any of us like it or not, all clubs - even non 4wd clubs - are solely reliant of fresh new blood coming through the ranks and keeping the organisation alive, functional and as active as possible.

So are we in fact talking about increasing the membership or are we just considering managing the membership sensibly, maybe the latter is more accurate to our current needs. But by managing the membership will invariably increase the membership anyway, yes this is true. But what are we actually increasing? The whole membership or just the active members with new and eager members coming on board wanting to lead 4wd trips and take on what the club has to offer them?

There have been arguments made about too many visitors on trips, this is going to happen whether the club has 4 members or 24 members or 54 members if the trip leader/s want to run a large convoyed 4wd trip as there is the other element of visitors joining our trip anyway, not just a heap of members.

More arguments have been presented making comment about too many members on trips, the numbers are too many and hinders any forward movement in convoy during the day.

All of these arguments are simply cancelled out because its not the club or the committee or the track marshals that dictate the terms to the members on how trips are run and how many should or should not be in convoy, in fact its the members running their trips that make these decisions and there are bells and whistles within the clubs present structure 'members tools on the website' to support the members to do exactly that. The committee and the Track Marshals are there only to support the membership to how a particular member wants to run their style of 4wd trip.

How incredibly boring would all West Coast 4x4 trips be if they were all run exactly the same way? May as well stay at home and watch the ARB challenge series on the Plasma.

Some of our members love to put in a huge effort in putting a 4wd event together, where others just throw one together out of the blue with minimal planning... both trips have their own style dictated by the leader/planner of that trip. No member has the right to discriminate one trip against the other by stating that some trips were better initiated than others, we all need to just enjoy them for what they were/are intended for... great friends and 'just 4wding'.

There have been arguments forwarded about some members splitting their trip up into two... so what? At the end of the day, its all about choices, you either support the trip leader with what they have planned or you don't. No one should be making judgments about trips other members have put a great deal of effort into - that's just wrong and incredibly negative. If you want a trip to run a particular way, then stand up and run one the way you want to. If it doesn't work, there won't be many members / maybe a few visitors heading out with you the next time you put one together... and if that happens then maybe you need to have a long hard look at yourself in the mirror and start asking the reflection you see a few heart to heart questions, you may not get a positive answer... but that's life, isn't it?

The clubs membership needs to support one another, not make judgment about how other members run their trips/events whether poorly or brilliantly. Better that you keep your mouth shut and just not turn up and then maybe just run a trip the way you want to - but hey? Don't expect getting much support if you actively don't support other members to what they want to do.

All of the above issues will still be there no matter how big or small the club is, it just doesn't matter. What really matters is the support we all offer one another under the umbrella of West Coast 4x4 (Inc) 4wd Club. And what has been developed by Brettski as our online systems really does address all the issues and arguments presented very, very positively. All that really needs doing is using the online systems for what it is intended for... 'more choices for 'OUR' membership', not less attributed to restrictions as what we are faced with now, a restriction on preventing new ideas coming to the club via 'NEW MEMBERSHIPS'.

To rely on the attrition factor/way/method... so far as to say waiting for members to drop off the membership list to get new members on board will have a negative effect on the over all activeness of the club in the long run - there is absolutely no doubt about that. But if we are smart about it and manage this clubs membership in a very sensible way, then the club will continue to flourish and offer many diverse, interesting and great 4wd events/trips to its members by the membership.

At the very end of the day, the biggest asset of this club is its membership and the new membership category is a HUGE part of the clubs asset process. If we ignore it and cap the membership at 50 then we turn our backs on what should be referred to as the one real valued asset of this 4wd club and that my friends is its active memberships and valued members that should not be pressured into handing their membership in to make way for others new members. That's just disrespectful and wrong!

So in a nut shell, if the membership has to increase over the 50 benchmark to help keep the club active, lets go for it and open the club up to new ideas and possibilities by giving us all a heap of choices and allowing new members such as Bluey and Karen come on board... not restrictions by ceiling the membership at 50 of which about a quarter to one third are inactive in terms of participating on 4wd trips out there in the great outdoors - of which this number of inactive members will increase... the reality is that the real size of a 4wd club is its active members. For example, the Jeep Club has over 400 members, how many of the 400 are really active? For arguments sake, say they only have 12 to 15 members that do more than 10 trips a calendar year... so how many real members do they have keeping the club alive and active? 12 - 15 reflect the real size of the club, not 400.

The committee is requesting direction from the membership now only because we are still so divided on this issue, we are looking for YOUR guidance right now. Please forward your response to the committee via myself and Captain on how you would like to see this club flourish in the near and distant future, many thanks guys - for your attention and hopefully forwarding back some positive feedback.

Hi Members,

Here is the response from the General Secretary of the Uniting Church Busselton of what they have done in repsonse to our complaints of how we were so badly treated by Wendy and Steve, the camp caretakers.

I've replied stating to Kay that Steve is not being truthful about his consumption of alcohol. And if he behaves in such a manner with only 2 standard drinks, then he is unfit to manage such a campsite.

Also I have taken serious offence to the General Secretary making reference to our members 'consumption of a substantial amount of alcohol', this is not accurate.

Dear Geoff
I am writing to respond to the complaints that you raised about the caretakers of the Busselton Campsite and the incident that occurred on the long weekend in March, 2008.

After gathering together a summary of your documentation I forwarded the complaint to the Campsite committee who has oversight of the campsite. The Campsite committee has a process for dealing with complaints so that they can ensure that any incidents are recorded and reviewed so that there is an opportunity to improve practices and ensure a well run campsite.

While there are different versions of the story of the incident including the exact timing, all agree that this was a distressing incident because in an escalated aggressive interaction safety was compromised for all. The Campsite committee, together with the caretakers, have looked at the events and how such situations can be avoided in the future. A key concern is for the children who were a part of the incident.

We understand that the boy at the centre of the incident had apologized for using his skateboard and that the incident escalated because of the interaction between the mother and the caretaker as he was attempting to explain the rules of the caravan park and their importance to keep all campers safe.

The Moderator, Robert Watson and I visited the campsite in April and spoke with Wendy and Steve Clutterbuck. We have examined the lease agreement, the information provided to campers and the protocols.
In line with the protocols the committee had received a written report within 24 hours of the incident occurring and had immediately visited the caretakers to investigate. The committee said that they particularly asked questions about the drinking and had ascertained from Mr Clutterbuck that he had "a couple of beers with his meal" but was not intoxicated. This is also asserted by an independent camper who was in the shower block at the time and has written a letter giving his perspective.

It seems that at the time of this incident all adults involved had been drinking alcohol to varying degrees from one or two drinks with the evening meal to the consumption of a substantial amount of alcohol. This has the potential to interfere with responsive and responsible action.

We regret the distress caused by this incident and we have discussed with the Campsite committee representatives and the caretakers ways to avoid any such incident occurring again.

Yours faithfully

Hi members,

For those that are going to the Kimberly this year… I met a young guy on Wednesday whilst out 4wd training, he works for a drilling company and he is originally from the Kimberly, his ex-misses still lives and works out of Drysdale.

The first thing he asked me when I told him we had 2 different groups heading up that way on holiday was… “How many caravans are going?”. His best advice to those that are towing was to leave the vans home, his second best advice was to drop the caravans off at Drysdale and do the trip up to Mitchell Falls without towing anything and to expect breakdowns on the caravans along the way from Derby to El Questro and be prepared with the right tools to make bush repairs on the caravans – especially repairs to suspensions. Also make sure you absolutely have the right vehicle recovery gear to recover the vehicle and the caravan.

He went onto say that the Kimberly region has had a record wet season this year and that the roads are not in good condition – they won’t be graded in time b4 we get there as there is simply too much of it to grade.

My brother in law whom is now down in Perth from Broome is going to ride the Gibb River Road on a bicycle with a bunch of guys soon, so we’ll get a good update from Snapper before we get going.

Hi everyone,

I've only just created a forum to help everyone keep on the same page with respect to interpreting the clubs policies and procedures.

Please feel free to ask any questions of the committee and other members if you have any queries you are not quite sure about.

I'll start the ball rolling here by asking... who can be invited on a West Coast 4x4 trip?

The answer is really quite logical and respectful to the membership in that whoever the trip leader wants to or does not want to add to their organised or led 4wd trip is up to the trips leader/s themselves, its simply not up to anyone person in this club to dictate the terms. The club is not a politically motivated ‘Fascist Party’ whereby if you don’t do something in a particular way, it’s the highway. That kind of mentality is just childish.

So with respect to all our dual club memberships, the actual club ruling on ex-members wanting to join a West Coast 4x4 club trip… that decision is entirely in the hands of the trip leaders. After all, if a member puts their hand up to lead a trip, shouldn’t we all give him/her every support they deserve for taking the time and effort to put an event together for good friend’s like minded individuals. One of the most important aspects of a 4wd trip is that everyone comes away with the old warm and fuzzy feeling and I am sure we all want to aspire to those kinds of feelings… 4wd is a hobby after all, hey?! And isn’t a hobby meant to be enjoyed with friends and like minded people no matter from where they come from, from our wider global community.

The club does not discriminate against anyone, not even ex-members.

Nothing to report as such as discussions are being initiated again within the committee to try and give something positive back to this awesome 4wd clubs membership.
No one member will be disadvantaged... that much I can say ;-)
When the executive committee have a draft of the changers, we’ll let you all take a look at it for open discussion. In the meantime it’s all about… ‘JUST 4WDING’

The attachment - via the link above - was presented to us by the WA 4wd Association to try and entice West Coast 4x4 to become members.

The issue I personally have with it is its not signed by any official within the Executive Committee of the Association and its not on one of their official letterheads. And it was delivered only a day b4 our AGM via a random e-mail address and not the official secretary@wa4wda.com.au e-mail address, I requested it at the last delegates meeting last year.... just too slow to act sme thinks. So I am not 100% sure how official this correspondence is.

Anyhow, take a look at it and discuss amongst yourselves and think about possible affiliation with this organisation. What can we offer and will our offer of assistance be accepted?! That is the 64000 dollar question here.

Our offer of help in the past has not been well received from the Executive Committee of the Association, but please bear in mind that there is a new Executive Committee now so past issues may have changed for the better now. Please consider affiliation.
